If in your organization the salary of employees depends on the time actually worked, then you probably know how to keep a time sheet. If not, use our instructions.

To start working with the timesheet, first of all you will need to fill out the production calendar. To do this, go to the tab Settings and select Production calendars.

To keep track of working hours in the 1C: Salary and Personnel Management program, you can use two methods:

  • Deviation method– using this method, the program will record deviations from the employee’s work schedule.
  • Complete registration method– this method includes recording both deviations from the work schedule and the actual time spent.

When an employee is hired, his personal card must indicate his work schedule. If it is not there, be sure to fill it out.


Registration of discrepancies with the established schedule occurs using the following documents: Sick leave accrual, Vacation accrual, Parental leave.

Go to the tab Salary to point Time tracking and create an individual schedule for a specific employee (if necessary).


Time sheets must be kept when employees in your organization work on non-cyclical working time schedules. This is also necessary if employee shifts are constantly changing among themselves.

To get started and fill out the timesheet, go to the tab Salary to the block Time tracking and press item Report cards. In the window that opens, use the button Create, create a new document.


The following fields are required: Organization, period.

Then using the button Fill create a document and, if necessary, make your adjustments to it.


The time sheet is filled out in accordance with special letter designations. You can familiarize yourself with them in more detail on the tab Settings in the directory item Types of working time.


After filling out the document, click Swipe and close.

ZUP 3 also contains the document Timesheet, which can be used to enter the hours worked by employees. However, this document does not have the ability to summarize hours worked.

You can implement such input using the document. To do this in the directory "Templates for entering initial data" you need to create a new element. In it, on the “Types of time” tab, indicate the types of time for which we need to enter information. For example, we indicate the time types Turnout and Night hours.

You must also check the " Overall for the period«.

As a result, in the document log "Data for salary calculation" A new document type will appear for entering hours worked. Let's enter the hours worked for employees Khristenko and Tsvetaev. Khristenko worked at night.

After this in the document "Calculation of salaries and contributions" for calculations for these employees, the data from the document will be used "Data for salary calculation".

Payments to personnel depend on the work performed and the amount of time worked by employees for a certain period. When do you need a timesheet to track working hours and how should it be maintained in the 1C Salary and Personnel program?

Working time sheet: application and registration in 1C

When applying for employment, the employer must discuss the working hours for each employee and draw up a schedule for reporting to work. In cases where we are talking about a standard five-day period, there is no need to draw up an additional document to record working hours. In fact, at the end of the month it is simply taken into account whether during the period under review the employee went on vacation or sick leave, went on a business trip or took a day off; this data is enough to calculate wages at the end of the month.

Drawing up a time sheet will be required during rotational or shift work, as well as in any other cases when appropriate accounting is required, for example, when calculating the actual time worked in 1C UPP.

You can fill out a form for recording the actual time worked for each employee in the 1C: ZUP program.

In the “Payroll calculation” menu section there are two links to the time sheet:

  • in the "Documents" section;
  • in the “Reports” section - printed form T-13.

In the documents section it is available for editing and filling out manually, and in reports it is only suitable for printing a ready-made timesheet with default marks in accordance with the planned work schedule.

You can select a timesheet for an individual employee, employees of one department, or for the entire team. The period for compiling the timesheet also varies - you can fill it out for the first or second half of the month or completely for the calendar month. Information on the number of hours worked is provided in two formats: aggregated or broken down by day.


When filling out a timesheet manually in 1C, you will have to enter data on the actual hours worked. But in situations where there are certain inconsistencies in the report card, there is no need to rush to correct them in the documents; errors of this kind include:

  • omission of information about business trips, vacations, sick leave;
  • lack of information about employee absence on certain days due to absenteeism, personal leave and other reasons;
  • Instead of working days, no-shows will be entered automatically.

In case of such discrepancies, you need to look for problems in other personnel documents and make corrections there, and then the timesheet itself will be automatically changed. But if you need to manually set the hours of shifts worked, then you will have to do this directly in the timesheet, editing it in accordance with the real data.

The most common accounting programs in the Russian Federation are those of the 1C complex - a huge staff of developers, programmers and debuggers constantly updates and improves the system, introducing new functions and significantly making the life of accountants easier. Using 1C, you can keep records of wages, settlements with contractors, and quickly draw up a report on each of the parameters provided for in accounting. This, in turn, makes it possible to reduce the cost of staffing payroll accountants.

How to fill out a time sheet in 1C

In the 1C “Salary and Personnel Management” program, to perform this function, use the “Payroll” menu on the desktop. When you open this tab, you should select the Time Sheet option located in the navigation bar. By clicking on the corresponding button, you need to use the “Add” function, which is located on the toolbar. In this case, the entry must be done manually, adding data for each employee separately. In addition, it is possible to automatically generate a list of employees with time and attendance data. To do this, select the “Fill” function and set the necessary parameters in the dialog box that appears.

How to save accounting data

If necessary, you can make changes to the entered data by adjusting working hours, the number of night and holiday hours, absenteeism and overtime. If there is any confusion about the symbols that need to be included in the timesheet, you can call up help by clicking on the “question mark” icon on the toolbar. The program also provides the ability to enter data on hours worked on a daily basis or for the period as a whole, and you can also view summary indicators. When entering manually on a daily basis, you need to confirm the data entry so that changes are saved in the program database. To do this, use the “Record” button in the lower right corner of the desktop. At the end of the reporting month, you will also need to save the document in the database. To do this, click on the “Pass” button located on the work panel. In addition, the timesheet can be saved in Excel format and printed to obtain a paper version. These functions use the standard "Save As" buttons; “Print Document”, which are also located on the toolbar.

Similar opportunities are provided by other products of the company 1C: Manufacturing Enterprise Management, 1C: Salary and Personnel, 1C: Integrated.

The timesheet uses letter designations from the directory of types of time and the corresponding number of hours (I 8, N 2, S 4, etc.). If it is necessary to indicate several types of time (attendance, night, evening hours), then each type is indicated on a separate line. The number of such lines is set by a switch.

To be able to adjust the Timesheet relative to the schedule, you need to check that in the settings of the 1C ZUP 3 program the “Check compliance of actual time with planned time” is not selected:

How to fill out a Timesheet document in 1C ZUP

For a regular 5-day week, it is not recommended to use the Timesheet document; in such cases, the program takes it well into account using the deviation method.

Let's study with an example when you can use the Timesheet document in 1C 8.3 ZUP.

For example, an employee on a five-day work schedule worked at night due to production needs.

To record the time of such work, we will use the document Timesheet. It is located in the section Salary – Time tracking – Timesheet:

We create a new Timesheet, where we indicate the employee. By default, the 1C 8.3 ZUP program fills out the timesheet according to the employee’s schedule:

When entering information according to the 1C time worked code, ZUP immediately offers the necessary options. Select the required one:

We carry out the document. We look at the calculation of wages for this period for the employee. The program automatically charges additional payment for night hours:

It is strictly not recommended to use the Timesheet document to adjust time for any absences in 1C 8.3 ZUP. For no-shows, it is necessary to enter documents to register deviations.

The time sheet has priority over other documents for recording time worked. Therefore, if you entered a Timesheet document and then made changes to the data for calculating wages, then you need to make these changes in the Timesheet. Otherwise, your salary may be calculated based on incorrect data.

Printing form T-13

Also in the configuration for receiving printed form T-13, to view the time worked by an employee, it is possible to use the Time Sheet report. Section Salary – Salary reports:
